Facilitating Document Management: New Firmex QuickViews

We're thrilled to announce two new QuickViews, helping Content Administrators to prevent common content sharing challenges.

Securely sharing documents is the ‘raison d’etre’ of the Virtual Data Room. In order to better facilitate that objective, Firmex is pleased to announce two new QuickViews, which will make it easier for Administrators to readily identify and solve inconvenient challenges to document sharing that have traditionally inhibited the ability for reviewers to access specific document types.

Encrypted Documents QuickView

It’s all too common for encrypted documents to be uploaded to a Firmex VDR without the uploader themselves knowing they’re encrypted. This can lead to frustration when the document is un-openable by either the Firmex Viewer or the end user if given permissions to download. Furthermore, encrypted documents cannot be protected by Firmex’s Digital Rights Management (DRM) protections, blocking the ability, for instance, to report on activity for downloaded encrypted documents.

Due to the difficulty in identifying encrypted documents uploaded to the VDR, dealing with encrypted documents was historically a process that involved waiting for complaints and replacing the offending documents individually. Depending on the volume of encrypted documents, this could lead to repeated complaints, increasing frustration, and hinder the progress of a deal. 

Firmex has introduced a QuickView that enables Project Managers and Administrators to quickly list all of the documents within a project that are encrypted, and deal with them on a proactive basis. In addressing encrypted documents during staging, barriers to deal progress can be eliminated.

Offline Documents QuickView

As part of the staging process for a deal, it’s not unusual for documents to be uploaded and set to ‘Offline’ in order to limit visibility to Content Administrators while the data room is still ‘under construction.’

It was essential that the Administrator(s) kept a careful record of which documents were taken Offline to ensure they were reverted to ‘Online’ status prior to opening up the data room to guest users. If not, essential documents left Offline might be assumed to be visible to reviewers, when in reality they are not.

Firmex has introduced a QuickView that enables Content Administrators to readily identify any documents in a project that are in an ‘Offline’ state. At any point in a deal, whether in the transition from staging to live or as diligence progresses through phases, Content Admins can quickly target Offline documents and move them to Online to make them visible to authorized users.

When will I start seeing changes?

All Firmex VDRs will be enabled with these two new QuickViews by the end of July 2025.
